Emailing college softball coaches
Coaches open emails that are short and specific: who you are, your grad year, your positions, your best verified numbers, a clickable video link, and one real reason you want that program.
When to email
- You can email coaches at any grade. In D1 softball, coaches can't call, text, email or DM you back until 1 p.m. Central on Sept. 1 of junior year (see the timeline), but they can still read your emails and watch your video.
- D2 coaches can reply starting June 15 after sophomore year. D3, NAIA and JUCO coaches can reply sooner.
Subject line formula
Grad year, positions, one or two verified measurables, GPA if strong, and "(Video)".

Keep the body under about 150 words. Link your video (YouTube or Hudl). Never attach it.
Coach [Last Name], My name is [Full Name]. I am a [Grad Year] [primary position] at [High School] in [City, State], and I play travel ball for [Travel Team]. I am reaching out because I am interested in [University] softball, specifically [one real reason]. Send it from the player's own email address, one school per email, to the coach listed on the school's staff page. Add SAT/ACT only if you've taken it.
Follow-ups
- Follow up every 2–4 weeks with something new: a new measurable, a tournament result, an updated clip, a camp date or a grade update.
- Before a tournament, send your schedule with field numbers and your jersey number so coaches can find you.
- Keep a tracker: school, coach, date sent, questionnaire done, reply, next follow-up.
